Key Responsibilities of the Executive Assistant at Wellahealth


Executive & Administrative Support

  • Manage the executive’s schedule, including arranging internal and external meetings
  • Coordinate with internal teams and external partners to prevent scheduling conflicts
  • Represent the executive in meetings when necessary, take comprehensive notes, and track action items
  • Draft briefs, compile reports, design presentations, and prepare meeting agendas

Project & Event Coordination

  • Assist in the planning and implementation of strategic internal and external initiatives
  • Organize team-building activities, workshops, offsite sessions, and manage related logistics
  • Communicate with vendors, partners, and other stakeholders to ensure seamless execution

Finance & Reporting

  • Collect and maintain invoices and relevant documentation for audit and compliance
  • Support the creation and submission of quarterly investment and progress reports
  • Manage and safeguard confidential records and documentation

Grant & Program Applications

  • Conduct research and submit applications for grants, accelerator programs, and key partnerships
  • Monitor application deadlines, prepare required materials, and follow up on progress

Sales & Client Support

  • Provide support for light sales operations, including tracking leads, following up with clients, and updating the CRM
  • Contribute to drafting proposals, pitch decks, and professional communications for prospects or partners
  • Schedule product demonstrations and intro calls, ensuring prompt follow-ups
  • Handle incoming inquiries and direct them to the appropriate teams

Communication & Relationship Management

  • Act as the primary liaison between the executive and both internal and external stakeholders
  • Compose professional correspondence while maintaining discretion and confidentiality
  • Represent the executive with professionalism across all engagements

Qualifications for the Executive Assistant at Wellahealth

  • A Bachelor’s degree in Business Administration, Communications, Marketing, or a related discipline
  • At least 2–3 years of relevant experience as an Executive Assistant, preferably within a startup or high-growth environment
  • Proven experience supporting sales, partnerships, or business development functions is a significant advantage
  • Excellent written and spoken communication skills
  • Proficiency with Microsoft Office Suite and/or Google Workspace; familiarity with CRM platforms is a bonus
  • Strong organizational, multitasking, and time management skills
  • Maintains a professional attitude with a high degree of confidentiality and discretion

Preferred Qualities:

  • Background in early-stage startups or experience working closely with executive teams
  • Knowledge of event coordination, preparing investor materials, or managing pitch processes
  • Proactive mindset with the ability to anticipate needs and operate independently
  • Prior involvement in sales, partnerships, or any client-facing role is a strong plus
